Placetel offers you the option of placing a mailbox / answering machine behind every phone number, which accepts calls with an announcement and sends you the message you left by email - these can also be accessed via the web portal.

Info: The Placetel mailboxes do not appear in the Webex client at the moment! The mailboxes in the Webex client cannot be used with Placetel.

Quickstart

You set the mailbox under Telephone system → Numbers → Number concerned → Forwarding settings → Mailbox. For a mailbox of a routing object, you also configure this in the forwarding settings of the object.

If you only want to play one announcement (without the option to record), please refer to our online help article on announcements.

You can define the following settings both in phone numbers and in routing objects.

The way is comparable.


Activate mailbox

Mailbox busy or no answer

Carry out the following steps if you only want to activate the mailbox if the selected VoIP destinations are busy or if no one answers the call for a certain period of time.

You specify the time after which the mailbox starts when determining the forwarding destinations.

  1. Click on Telephone System → Numbers

  2. Select the relevant phone number.

  3. Scroll to the forwarding settings. You may still have to "open" this.

  4. Make sure that the item Always forward calls to the mailbox is not activated

  5. Select the Mailbox tab.

  6. Activate the checkbox for Mailbox active and define the desired announcement.

  7. If necessary, activate the checkbox Send message as MP3 attachment. To determine the e-mail address, please read the article on notifications.

Always activate mailbox

If you want all forwarding of the number or routing object to be ignored and the mailbox to always answer directly instead, carry out the following steps.

Note: This is the standard setting for newly activated phone numbers.

Always route calls to the mailbox

  1. Click on Telephone System → Numbers

  2. Select the relevant phone number.

  3. Scroll to the forwarding settings. You may still have to "open" this.

  4. Select Always forward calls to voicemail.

  5. Select the Mailbox tab.

  6. Activate - if you have not already done so - the checkmark next to Mailbox active and define the desired announcement.

  7. If necessary, activate the checkbox Send message as MP3 attachment. For the determination of the e-mail address please read the point "Notifications".


Deactivate mailbox

  1. Click on Telephone System → Numbers

  2. Select the relevant phone number.

  3. Scroll to the forwarding settings. You may still have to "open" this.

  4. Make sure that the item Always forward calls to the mailbox is not activated

  5. Select the Mailbox tab.

  6. Remove the check mark next to Mailbox active.


Notifications

In the Placetel telephone system you can decide whether you want to receive notifications, e.g. about missed calls or voice messages, by email. Further information can be found in our online help article.
